Job summary

The Education Specialists are proud to be partnering with an excellent Teaching Hub to recruit their Teaching School Hub Administrator.

You will be based within the school for the most part, with some flexible home working available (depending on business need) and meetings at various locations (expenses paid).

The post is 36 hours per week, 41 weeks per year (leave to be taken in non-term time). The post is fixed-term until the 31st August 2024 in the first instance, but potential to be permanent for the right candidate.

Key Purpose of Role:

* To provide full administrative support to the Director of the Teaching School Hub and Project Manager in delivering on the main objectives of this service.

* The role will have specific emphasis on supporting the Early Career Framework National Roll out and National Professional Qualifications including marketing, recruitment, monitoring and resourcing.

* To market effectively and manage events including room bookings and hire of facilities.

* To maintain accurate registers and to manage the Teaching School Hub diary and assist with the Teaching School Hub termly return to the DfE.

Key Responsibilities:

* Maintain the Teaching School Hub diary and associated cycles

* Undertake/deal with all correspondence

* Prepare papers/co-ordinate arrangements for a range of associated meetings and provide administration and organisational support including minute taking.

* Maintain administrative oversight of all Teaching School Hub activities (Early Career Framework (ECF), National Professional Qualifications (NPQs) Continuous Professional Development (CPD) and Appropriate Body services (AB))

* Be the first port of call for Lead Providers in dealings regarding the relevant programmes

* Ensure all resources and arrangements are in place for face to face facilitated sessions for all programmes including venue bookings, refreshments, liaison with facilitators and, on occasion, room setup in line with the calendar

* Administer and collate evaluation information across all Hub activities and provide it in a timely manner to ensure delivery of a high quality offer, to inform DfE annual returns and inform future planning

* Promote all programmes across the Hub area and other partnerships as appropriate utilising social media platforms and other outlets

* Liaise with facilitators to ensure quality provision and ensure that they are communicating with their participants in a timely manner

* Assist in the Teaching School Hub submission termly return

* Monitor and respond to bookings and enquiries through the online system:

* Oversee the standard of maintenance of all rooms and open areas to ensure they are commensurate with expectations

* Ensure all rooms are equipped as per the requirements of the session

* Meet and greet facilitators at the start of the session and ensure their requirements have been met

* Maintain the Teaching School Hub diary in line with bookings to guard against overbooking

* Deal with personnel/confidential correspondence

* Undertake general correspondence including evaluations for Teaching School Hub events

Marketing

* Work with the Teaching School Director and Project Manager to plan and deliver the full range of marketing activities over the course of the academic year

* Ensure that the Teaching School Hub website is updated regularly

* Recruitment and marketing of all events and programmes along with Teaching School Director and Project Manager ensuring sufficient, appropriate materials are available for each

* Work with newspapers, magazine and online agencies to deliver a considered and cost effective advertising programme through a variety of media

Administration and Organisation

* Manage manual and computerised record information system including diary management

* Maintain accurate registers of delegates attending Teaching School Hub events

* Adhering to GDPR regulations, create a database of delegates as a mailing list.

* Raise orders/invoices and work alongside the Project Manager to ensure accuracy of accounts and adherence to financial procedures

* Analyse and evaluate data/information and produce reports and information as required
