Job summary
We have an exciting new opportunity at PCE for a HR Assistant to join our HR Team, based at PCEs Head Office in Tamworth, Staffordshire.This is a heavily administrative role working closely with the HR People Partner and the Head of HR in addition to the key stakeholders, in order to deliver an exceptional HR experience to the business.
The role holder must be able to cope with the repetition of the day-to-day administrative work whilst being able to work with initiative, at pace, with accuracy, whilst maintaining the excellent standards of the business.
One of the main focuses of this role is to ensure that we actively recruit the best people in line with our company behaviours all whilst delivering an exceptional onboarding experience.
Building relationships across the business is a key requirement for this role, in order to help develop our employee partners and managers, whilst supporting the HR team in the delivery of HR projects and initiatives.

Location
Whilst predominantly based at Head Office the role holder will be required to work from site at times and therefore may be required to work away from home on occasion.
RESPONSIBILITIES
Responsibilities including but not limited to:
Recruitment
Responsible for the creation of job vacancies on internal and external platforms
Responsible for logging all CVs into the business
Assisting the HR Team with CV review
Obtaining feedback from the hiring manager and provide weekly feedback to the HR Manager on vacancy status
Involvement in pre-screening suitable candidates and relaying this information to the hiring manager and HR Manager
Schedule interviews with candidates/interviewers
Attend interviews as necessary to assist with note taking
Issue interview notes to the hiring manager
Responsible for notifying unsuccessful candidates
Onboarding
Prepare all relevant offer and contractual paperwork for review
Validation of right to work documentation
Liaison with key stakeholders to ensure additional requirements are actioned as necessary (IT, training etc)
Responsible for new starters IT set up
Ordering of suitable PPE using internal database
Responsible for setting up induction schedule and communicating to the business
Continuous improvement of induction material and induction schedules
Initiate internal HR database setup for new starters
Maintain regular pre and post contact with New Starters
Updating birthday / new starter / leaver calendars
Employee Lifecycle
Notify PCEs Account department of any Payroll Action Notices (PANs)
Management of absence inbox, ensuring HR database is kept up to date and process is being adhered to and absent employees have been contacted
Ensure the line manager has conducted and closed out return to work meetings
Production of absence reports, highlighting absence concern triggers to the HR Manager
Responsibility for ensuring that holiday records are up-to-date and that holiday authorisations are responded to in a timely manner
Issue relevant absence, holiday and training reports to the Construction & Training Administrator in a timely manner for labour allocation
Updating our Employee reward and recognition matrix and issuing relevant letters
Creating accounts and managing security and driving licence checks via our third-party provider
Updating relevant stakeholders and departments following completion of checks
Creation of hub posts for new starters / promotions / leavers
Process leaver documentation and inform key stakeholders of the leaver
Liaise with the Construction and Training Administrator to ensure that all follow up medical assessments or tests are completed
Responsible for ensuring the HR database is updated as necessary
Schedule exit interviews and conduct exit interviews as required
Responsible for updating the company organogram for starters and leavers
Responsible for ensuring leavers accounts are closed
Responsible for arranging and managing all training requirements for non-construction employees
Employee Relations
Responsible for ensuring probationary reviews are scheduled by the managers and conducted
Responsible for ensuring that all relevant paperwork is logged on the HR database and that the outcome is communicated to the employee
Updating HR records (change of notice period, holiday entitlement, etc)
Subcontractor Labour
Validate subcontractor labour in line with the subcontractor matrix ensuring the necessary approvals are in place
Prepare subcontractor agreement for review
Responsible for ensuring documentation is correct and in line with legislation
Working with key stakeholders to ensure that information is communicated as required
Ensure that subcontractor information is accurate, maintained and stored correctly on the relevant platform
Liaise with third parties as required and inform accounts department of new starters and leavers
Conduct regular auditing of subcontract information
General
Assisting with the creation and development of training material
Support with the creation of HR policies and processes
Assist in meetings and note taking where appropriate
Ensure processing of all HR data is GDPR compliant
Obtain mental health first aid certification
Undertake relevant training and / or security clearance where appropriate
Any other tasks as required by the HR People Partner, Head of HR or the business

Level 3 CIPD or similar is desirable but not essential
