Job summary
Do you want to work for a company whose purpose is to improve society by considering social outcomes, and to transform businesses, communities, and opportunities for its employees?We have a 12-month fixed term contract position available within our fast-paced HR Shared Services (HRSS) team for a HR Shared Services Administrator which is the perfect opportunity for anyone looking to start their career in HR.
The HR Shared Services Administrator will be based in our Glasgow city centre office providing ample opportunity to work alongside other members of our HR community which naturally will maximise your exposure to HR.
As part of the HR Shared Services team, you will have exposure to the full scope of an employees lifecycle.
Role and responsibilities:
* Case Management through the Mott MacDonald MyHR system
* Cases will include requests such as: reference requests, contractual changes, maternity, paternity, shared parental, resignations, new starter, probation.
* Gain knowledge and understanding of the processes within the HRSS team.
* Answer calls into the HRSS team in a timely manner
* Become familiar with the requests that come through to the HRSS inbox and gain an understanding of how to process.
* Processing accurate information within multiple HR systems
* Complete actions required for monthly / ad-hoc reports such as audit reports, payroll reports, starters/leavers, long service awards.
* Provide support when requested for other ad-hoc tasks/projects.
Due to the nature of this role & team a minimum of 3 days in the Glasgow office is required along with the occasional travel to our Preston office for business needs, we do not expect this to be more than once every couple of months.
Candidate Specification
Essential skills and experience:
* Due to the nature of the role, we are looking for candidates with a proven track record providing excellent and professional customer service both over the phone as well as in writing.
* You will be confident when liaising with stakeholders and have a strong level of written English.
* Attention to detail is a must due to the nature of the queries you will be dealing with
* Were looking for a solid team player who has worked in a customer focussed environment.
* Confident user of Microsoft packages: teams, excel and word.
Desirable skills and experience:
* Strong administration background
* Working in a process driven environment
* GDPR knowledge and understanding of data privacy.
* Experience in using Service Now/ handling a busy inbox.
