Job summary
This role requires travel between 2 locations aprroximately 8 miles apartPurpose of the Job
* To assist the Practice Manager with day to day management duties to ensure effective running of the Practice and perform such other tasks as reasonably requested by the Practice Manager.
* To liaise with the Receptionist, Nurse and Clinical Team to ensure the smooth and efficient running of the practice as a whole.
* To assist the Practice Manager in ensuring the practice meets standards set by government legislation including but not limited to CQC andHTM 01-05.
Employment Duties
* To establish and maintain productive working relationships with all members of the dental team.
* To liaise with the Practice Manager on all matters concerning finance, administration, pay and service conditions.
* To help supervise all staff in the Practice other than dentists, hygienists and therapists in regard to clinical matters.
* To work with a number of external organisations, groups and individuals and carry out these tasks to a high standard of professionalism to reflect credit on the Practice.
* To take reasonable care for her/his own health and safety and that of others who may be affected by her/his acts or omissions at work.
* To complete daily / weekly / monthly reports required by Head Office or other external bodies under the instruction of the Practice Manager or in the absence of the Practice Manager.
* To perform the duties of the Practice Manager in his/her absence.
Key Responsibilities
1. Assisting the Practice Manager with Each of the Following Duties Relating to Staff
-
Conducting interviews for ancillary staff
-
Collecting and sending to head office all new starter documents required by HR
-
Organising Hep B inoculations for new staff
-
Completing CRB applications for new staff
-
Carrying out inductions for new members of staff
-
Authorising and managing staff and dentists holidays and completing holiday trackers
-
Managing absences in accordance with the absence policy and procedure
-
Processing leavers and sending all required documents to head office
2. Assisting the Practice Manager with Each of the Following Duties Relating to Accounts, Banking and Pay
-
Understanding incoming invoices and statements and what they relate to
-
Cross checking and authorising invoices and sending them to head office
-
Maintaining the filing system for accounts including paid and unpaid invoices
-
Processing patient refunds, completing and sending relevant forms
-
Checking float balances and cashing up daily
-
Maintaining a daily record of takings
-
Recording and reporting of sundry sales
-
Banking of all cash and cheque receipts at least 3 times per week
-
Ensuring money is stored safely and securely within the practice at all times
3. Maintaining a Working Knowledge of Damira Dental Studios Ltd. Treatments

Proactively maintaining up to date knowledge of the treatments offered by the practices including but not limited to:

NHS treatments including bands and pricing

Cosmetic fillings and crowns

Teeth whitening including zoom

5. Assisting the Practice Manager in Overseeing the Smooth Running of the Reception Desk

Ensuring an excellent knowledge of the following:

The greeting patient procedure

The telephone answering procedure

The booking appointments procedure

The daily checking of day list procedure

The emergency appointment procedure
-
The patient payment policy including non payment log
-
The FTA policy
-
The free replacement policy

Continuations and the 2 month rule

The patient recall policy

The procedure for cancelling and rearranging appointments
Checking updating and cross checking computer and paper records
Backing up main surgery server and computers
6. Assisting the Practice Manager With General Responsibilities
-
Controlling inventory and ordering stock
-
Ensuring daily, weekly and monthly checks of surgery, building and grounds are in place
-
Ensuring excellent knowledge of the opening up and closing down of surgery procedures
-
Processing mail for the clinical team
-
Processing referrals including:
Urgent child referrals
Referrals for suspected malignancy
-
Collating and sending weekly figures to head office
-
Ensuring an excellent understanding of the transmission system and how to transmit claims
-
Understanding replies from transmissions and actioning
-
Checking sent claims
-
Checking transmission against schedules upon receipt
-
Accurately and efficiently processing DPB claims
-
Ensuring that the reception and clinical team work together and within their individual job roles
-
Monitoring the reception team regularly to ensure all protocols are being adhered to
JD-DPM

Monitoring the clinical team regularly to ensure all protocols are being adhered to

Providing support for other members of the team in pursuance of their roles

Managing the staff rota and ensuring all shifts are covered

Liaising with external suppliers and trades people as may be required

Getting quotations for work required, explaining quotes from suppliers and giving recommendations to the management team

Ensuring GDC, HTM 01-05, PCT and CQC guidelines are adhered to
-
Proactively maintaining and updating knowledge in relation to:

PCT regulations and guidelines
CQC regulations and guidelines
