Job summary
Title: Workshop ManagerReporting to: Plant & Service Director
Lead and manage the Workshop team safely, effectively and efficiently including Yard Person and Wash Bay Operative to ensure customer expectations are surpassed getting Plant and Equipment ready for Hire according to Manufacturers guidelines. In addition, the routine inspections for the Companys fleet of vans and HGVs. Have structure with effective planning of workloads. Working alongside the Service Manager give clear visibility for the divisional expectations, whilst measuring the development of the department, to ensure tasks are completed on time or ahead of target, with accurate information recorded.
Key Roles and Responsibilities:
* Be responsible for the Health and Safety of themselves and others involved in their working area, wearing correct PPE, specific to the job role.
* Comply with the company policies and procedures, Promoting the Companys Vision and Values. Promote the brand and advocate as an ambassador when interacting with customers. In collaboration with Plant and Service Director, define company objectives with a focus on timeline goals.
* Ensure risk assessments and method statements understood and followed.
* Manage team and ensure guidelines are being followed, within the manufacturers instructions for Plant and Equipment, ensuring machines are safe by maintaining and repairing all Plant and Transport equipment within the workshop, including the companys fleet of Vans, HGVs and all construction-based equipment for hire.
* Carry out workshop morning focus meeting, each day at 7.30am, with 1-hour maximum time allocation for this meeting. Specific communication to be delivered to the team with focus on efficiencies and their responsibilities and objectives for the day.
* Manage and produce reports available from Syrinx Software to its maximum potential, creating regular KPIs reports for Directors, daily/weekly/monthly, creating disciplines within the team, showing comparisons, week on week, month on month etc, analysing data from Workshop Dashboard, aiming for improvements.
* Working alongside Workshop Supervisor and Senior Administrator, assist with Planning jobs through workshop, allocating to fitters, Welders, Painters, Wash Bay operatives and yard operatives, including 500 hour/1500hour services are carried out as per fleet schedules. Ensure administrators have raised job cards, and placed paperwork into mechanics docket in advance, including entries and highlighted completions within the diary are done in a timely manner.
* Manage Workshop Administrators, for mobile mechanics. Ensure reports raised through Syrinx system have been created weekly, and plans made for upcoming fleet servicing of plant for the next 500 Hours or for 1500 hours, contacting customers for confirmed availability to carry out services on site. However, should agreement be made then the customer or site refuse the mechanic access, charges to be made to customer for wasted journey.
* Manage production throughout of each operational department, including the day-to-day activities of the engineering teams including labourer. Job cards completed with accuracy, prioritising workloads, address any issues and aim for improvements to be made when necessary.
* Working alongside Workshop Supervisor, monitor Quality of work carried out by mechanics, fabricators, painters, wash bay operators, and address individuals on any issues, when required. Ensure all jobs held within spreadsheet are diarised, have jobs raised with as much information as possible and completed.
* Working alongside with Workshop Supervisor, manage customers servicing of their own plant, ensure workshop administrators are completing all necessary information on job cards to ensure timely repairs carried out and charged.
* Working alongside with Workshop Supervisor, monitor and action Out of Action fleet. Create weekly completion targets, audit KPI report, ensure planning added to diary, aiming for timely turnaround and reduced OOA stock.
* Manage Stores Department, liaise with Workshop Supervisor and Administrators, ensure the Storemen have ordered parts from suppliers and maintain quantities of fast-moving parts.
* Ensure mechanics receive parts from stores in a timely manner preferably the day before to ensure services and repairs can be carried out efficiently. Minimise mobile mechanics time spent in depot, ensuring their parts are received each Friday, from stores for following week planned services, including having the correct tools to complete tasks. Liaise with stores for any outstanding parts which is obstructing the effective repair of Plant or vehicles, minimising downtime.
* Manage and liaise with Workshop Supervisor, Site damaged equipment is dealt with in a timely manner, forward costs to the Hire Desk to ensure the customer is charged.
* Manage Workshop Administrators. Review 3rd party external fitters, their costs and quality standards and gain comparative national prices. Ensure 3rd party external fitter costs for site damages are recharged to the customer in 72 hours if no disputes. Confirmation charges have been emailed and secured agreement from customer, obtaining order number before invoicing.
* Manage Workshop Administrators working alongside Workshop Supervisor, Warranty claims are being successfully logged and followed up.
* Manage Workshop administrators, drive a reduction of outstanding jobs, aiming for week-on-week improvements. Ensure H&S compliance with LOLER inspection schedules. LOLER tests are in date and administrators have good communication with engineers, ensure plant has been made available to access, and the uploading of certificates is done, including job cards raised for any defects reported or any advisory recommendations.
* Working alongside Plant Director, update COSHH assessments and produce risk assessments where necessary.
* Reenforcing safety training by Manging and performing regular Toolbox Talks alongside Plant Director, be proactive with 3 improvement and 3 H&S topics each meeting.
* Plan company vehicle fleet maintenance program, liaising with hire desk Transport Co-Ordinator in line with the workshop for PMIs, MOTs, Tacho Head, timing belts or mechanical failures, Liaising with Hire Desk for wagon availability, and minimise vehicle downtime.
* Motivate, measure and encourage your teams and their development, coaching and upskilling where necessary, arrange and necessary training to achieve production targets.
* Manage good housekeeping, ensure a clean, safe and professional workshop and work benches, with a clutter free physiology. Carry out spot checks on Company vans. To be kept clean inside and out, weekly by Mobile Mechanics, and always have seat covers.
* Manage and Maintain H & S compliance, ensure fleet is available for LOLER inspections, including workshop equipment, working alongside the Senior administrator schedules.Re-enforce safety training by Managing and performing regular Toolbox Talks.
* Assist when required with the diagnoses of mechanical, hydraulic, electrical faults including liaising with manufactures engineers and representatives. Diagnose issues accurately, asking for assistance from Plant Director with any technical concerns.
* Time to be spent out with the workshop assisting mobile mechanic with technical advice, and carry out repairs or servicing, as and when required to ensure efficient running of department.
* Control resources of consumables and ensure engineers have the correct tools and parts necessary to complete tasks, minimising waste and maximising production.
* Manage Workshop Supervisor and Senior Administrator, ensure equipment under Warranty is claimed for and logged with suppliers and all information is stored within the asset in Syrinx. Workshop Asset Management Manage Stock Checks, LOLERS, Calibrations, PAT Testing with reports supplied by workshop administration teams.
* Assist the relevant management and be proactive in identifying solutions to any problems established, including quality issues. Promote a continuous improvement culture.
* To carry out training and development requested where appropriate and Any ad-hoc duties or additional responsibilities required by Management.
Skills, Knowledge and Experience

IT proficient, Word, Excel, Microsoft
Excellent verbal, written and communication skills.
NVQ level 2 and above, or City & Guilds in Plant Maintenance or similar.
Have the ability to work under pressure and have the enthusiasm for the task at hand to meet deadlines.

Fabrication experience welding, including Stick, MIG, TIG and Gas
Willingness to work as part of a team as well as being self-motivated to work independently and use your own initiative.
The role is to encompass all aspects of quality assurance, Health and Safety associated with the provision and delivery of services. The nature of the role demands a flexible approach to working hours and may require overtime duties to ensure customer and Company requirements are achieved, including nights elsewhere working at multi-site locations
