Job summary
Our client, a reputable charity, are looking to recruit a capable and organised Business Support Officer to join them on a temporary, ongoing, hybrid basis. The successful candidate will have a solid career history with excellent senior administration and coordination experience. This role is immediately available and is a great opportunity for you, if you have a PA/ Project background and enjoy a very busy and varied pace. You will support the Project Managers, being on hand in their absence and supporting the team with a variety of administrative tasks. To be considered for this position, you will have the following skills:Experience within a similar Project Coordination or PA role;
A positive and focused attitude to work with a "right first time" approach
Highly organised to manage a busy workload daily
Excellent communication skills, able to build relationships with your customers
Able to prioritise and work effectively within a team You will enjoy a busy and varied day with your duties and responsibilities including the following:
Supporting the Project Managers and acting in their absence
Providing administrative support to the team
Maintain overview of activities for the team
Coordinate internal and external meetings on behalf of the project/programme managers. This may include: preparing agendas and papers; preparing presentations; circulating papers; attending and minuting meetings or taking action notes; transcribing minutes for agreement and circulation; monitoring action notes.
Proactively dealing with correspondence
Regularly communicating with project managers and programme heads on ongoing work and issues.
Maintain electronic and manual filing systems to help colleagues work effectively and efficiently. This will include accurately recording and sharing dietary and access requirements for delegates attending project groups, events and workshops
Participating in the team rota, checking and processing expenses, dealing with invoices and providing administrative support as required.
Providing tendering and contracting support in relation to project work as required to ensure that the organisation is complying with current best practice and legal requirements.
Collecting, analysing, and presenting data and information around key work streams.This is a great role and is available for an immediate!
