Job summary
Administration Assistant required to assist the property services team.Main Purpose of the role:
To provide accurate data updates and analysis, including reporting, and to resolve inconsistencies to ensure that the work provided by the Property Services Compliance team is accurate and beneficial. To maintain data accurately for the generation of Management Reports to inform Health and Safety Compliance.
Duties:
* Providing word processing, typing and general clerical support of a technical nature as required.
* To minute meetings and distribute thereafter.
* To administer 'APEX' in respect of gas, electrical and asbestos interfaces, including interrogating the database and resolving discrepancies.
* To be responsible for the production of the H&S Compliance Tracker to include Gas Servicing, Electric Testing, Boiler Replacement, Sprinkler Systems, Fire Extinguishers and other service areas.
* To be a 'super user' on Northgate and provide support and training to colleagues in all areas of the system.
Responsibilities:
* To provide a secretarial and administration support for the Property Services Manager (Compliance) by updating various I.T. systems, word processing, copy and audio typing, as required.
* To undertake the duties of the Compliance Officer as cover and at various other times of the year when works are being tendered.
* To test IT systems when they are upgraded and identify recommendations for system improvements, produce guidance procedures and recommend solutions to automate processing.
* To make appointments with tenants on behalf of staff within Property Services.
* To maintain appropriate record systems required by the Property Services.
* To receive incoming telephone calls, dealing with enquiries where possible or redirecting to the appropriate officer.
Monday to Friday
8am-4pm
Interim position initially with view to a temp to perm role.
