Job summary
Rightbuild and Maintenance ltd are seeking an Accounts & Office Assistant to join our growing company.Duties to include:
* Liaise with clients with regards to new orders and project queries.
* Generate and send invoices to customers promptly and accurately.
* Maintain client records and establish good working relationships with customer and suppliers.
* Logging reports and photos of jobs onto relevant systems.
* Prepare weekly and monthly customer and supplier reconciliation
* Reconcile supplier statements and resolve discrepancies.
* Proactively manage the diary, scheduling jobs and client meetings etc.
* Assisting with the setup of projects including health and safety, plant hire and administration.
* Maintain records for staff ensuring all training and insurance etc are up to date.
* Check and maintain fleet vans including MOT's, services and any adhoc repairs.
* Take charge of the electrical division to include liaising with clients, contractors and colleagues to ensure smooth running on jobs from booking through to invoicing.
* Monthly CIS returns
* Ensure ULEZ and congestion charges are paid and reconciled monthly
* Arrange training and courses as needed for all contractors.
* Administration & accounts support to the Accounts & Office Manager.
* General administrative and office tasks.
Required skills:
* Minimum 1 year experience using an accounts system.
* Proficient IT skills along with a good working knowledge of Microsoft Office (Word, Excel and Outlook).
* Excellent organisation and administration skills, including good attention to detail.
* Confident on the phone, dealing with various clients, contractors and suppliers.
* Willingness to adapt and respond to the fast changing and varied needs of the business.
Working hours Monday - Friday 8.30-5pm
