Job summary
Our client is looking to appoint a Finance Admin to work from their innovation facility based in Birmingham, due to launch early in 2024.The company is a dynamic and forward-thinking organisation at the forefront of the life sciences industry. They are excited to be launching their flagship site where entrepreneurs and academics will collaborate.
They are currently seeking a proactive and detail-oriented Finance Admin to work alongside the Company Secretary in maintaining efficient operations, ensuring compliance with legal requirements, and completing financial administration.
Working Information:
The standard operating hours are Monday through to Friday, working 9AM-5PM , though hybrid working can be accommodated. Some flexibility regarding your working schedule and hours will be expected to meet the demands of the business.
The role will require you to work from the office location in Birmingham.
In terms of compensation, on offer is a competitive salary of £20-25,000 per annum.
Key Responsibilities of the Finance Admin:
To assist in managing calendars, scheduling meetings, and coordinating appointments for members of the senior leadership team
To phone calls, emails, and correspondence on behalf of the Company Secretary, ensuring prioritisation of urgent matters whilst understanding scope of your own authority
To liaise with entrepreneurs, academics, and internal teams to facilitate collaboration and ensure the facility's success
To prepare and maintain legal documents, reports, and correspondence for a wide range of purposes
To generate regular financial reports for management, stakeholders and regulatory bodies
To input and verify accuracy of invoices, ensuring proper authorisation, and coding expenses to the correct accounts
To complete regular bank reconciliations to ensure that all transactions are accurately recorded
To organise and prepare materials for board meetings, shareholder meetings, and other significant events
To attend and take minutes during meetings, ensuring accurate documentation and distribution of meeting minutes
To assist in monitoring compliance with corporate governance regulations, ensuring all legal and regulatory requirements are met
To maintain and update corporate records, documents, and filings both in paper and electronic copy
To perform general office tasks such as photocopying, scanning, filing, and office supply management
To collaborate with other administrative staff to maintain a well-organised office environment
To complete other administrative or secretarial duties as reasonably required
Essential Criteria for the Finance Admin:
Proven Experience: Minimum of two years experience in an administrative role, with financial administration experience specifically
Relevant Working History: Evidence of working in a relevant field, such as STEM or within a Start Up
Communication Skills: Strong written and verbal ability, paired with excellent interpersonal skills
Computer Literacy: Proficiency using a computer and Microsoft Office applications, with experience of high volume data processing and typing
Relationship Management: Ability to build rapport with colleagues, clients and prospective customers alike
Culture Fit: A proactive and personable character will allow you to seamlessly integrate with the team
