Job summary
Main Purpose of the JobTo provide an efficient and effective administrative function to the HR team in order to ensure a high level of service and HR support is delivered to the company.
Duties
Employee Relations
Coordinate and respond to HR queries from employees and People Leaders, including from the team mailboxes, providing guidance, within level of competence.
Follow and update, as required, Standard Operating Procedures and processes
Maintain employee records, ensuring that they are fit for purpose, accurate and up to date.
Keep the HR System (People First and LMS) and SharePoint (Robertzone) up to date and accurate i.e. amending and uploading information as appropriate.
Assist in HR Employee Relations activities, such as support with absence management queries, escalating as required.
Work closely and communicate with Payroll, notifying of contract changes, leavers and any other impact on payroll.
Manage the administration of the Probationary Period process, liaising with People Leaders and involving the HR Advisor where required.
Manage the processing of contract amendments, leavers paperwork, referencing, probationary periods and raise any issues from analysis and trends.
Liaise with support functions on behalf of the HR team, including Payroll, Finance and SHE.
Respond to requests for data from People First, providing accurate reporting data and analysis where required.
Coordinate random testing with preferred substance testing supplier
Maintain spreadsheet records and trackers for HR activity
Assist the HR Team with administrative tasks as and when required.

Training and Development
Ensure compliance with all mandatory training, including but not limited to booking renewals for construction industry accreditations
Effectively co-ordinate and administer the learning and development programmes.
Manage and update the Learning Management System (LMS) in accordance with business needs
Work closely with the Group Training and Compliance Team to ensure that the LMS is utilised effectively
Manage and monitor Training Matrix completion, including production of regular reports and communication with key stakeholders
Co-ordinate internal and external development programmes, including People Leader Passport sessions and Leadership and Management Development Programmes.
Managing the day to day relationships with our external training partners, ensuring clear, accurate and timely communication
Collating data and relevant narrative in relation to the programmes for board reports (including eLearning stats and analysis)
Maintain standard operating procedures and processes in relation to L&D activity
Work to agreed deadlines for projects and initiatives
Publication and promotion of forthcoming programme / course dates
